These guidelines are designed to ensure a smooth and enjoyable adventure for everyone involved. Booking Your Safari Adventure

Reserving your safari or exploration is a collaborative journey. We’ll engage in a friendly dialogue, exchange thoughts, and customize the experience to seamlessly align with your dreams. This ensures that your reservation perfectly matches your aspirations.

Once we’ve finely tuned your itinerary and reached a mutual understanding of the details, we’ll provide you with information regarding your initial payment. Once this payment is settled, we’ll promptly send you a confirmation for your thrilling expedition.

Additionally, we’ll provide you with some necessary documents to gather essential information, such as your flight details, dietary preferences, and health status. While we are dedicated to accommodating special requests, any deviations from our standard Registration Form will be incorporated into the agreement only when documented in writing.

What’s Included on Your Booking:

  • Comfortable accommodations are chosen with care for each itinerary, including cozy twin or double rooms (or charming tents for added adventure).
  • Enjoy delicious meals as mentioned in your itinerary, with the added pleasure of complimentary bottled water during group meals.
  • Hassle-free arrival and departure transfers, as well as all your ground transportation needs.
  • For mountain adventures like Kilimanjaro, expect the expertise of our licensed and friendly English-speaking guides (or other specified international language-speaking guides), skilled cooks to tantalize your taste buds, and a dedicated team of porters ensuring your comfort by carrying your luggage, food, and water.
  • For safaris, our experienced English-speaking driver guides (or other specified international language-speaking guides) will be your companions, along with talented cooks for our camping safaris.
  • Entrance fees to National Parks, game reserves, museums, and all other applicable fees and taxes are included. Plus, we provide a safari vehicle that’s not only comfortable but also equipped for a luxurious game viewing and touring experience, ensuring you have a guaranteed window seat!

Exclusions from your quote:

  • While we aim to make your journey seamless, a few things are not included in our quoted tour prices. These include:
  • Costs related to passports or visas.
  • Any additional baggage charges.
  • For peace of mind, we recommend considering travel insurance.
  • Airfares and airport departure taxes (unless explicitly stated in your package).
  • Any optional sightseeing, game drives, or meals not part of your itinerary.
  • Personal expenses such as beverages (apart from the bottled water provided in Tour Inclusions), laundry services, communication charges, and gratuities.
  • Interruption, medical evacuation, and medical insurance for added peace of mind.

 Pricing Guarantee:

When you make a booking with us and submit your initial payment, we make a commitment to uphold the prices for the items specified in your quotation. Nevertheless, there are certain circumstances where adjustments may be necessary:

Increases in Government Levies and Taxes, Fuel Surcharges, Significant Errors in underestimating quoted prices, and Fluctuations in Exchange Rates could result in price modifications prior to your final payment. These adjustments, if needed, will be subject to a maximum limit of twice the initial estimate.

Please be aware that we maintain the right to decline a reservation at any time before providing the official receipt documentation.

Credit Cards and Payment Guidelines

  • Deposit Guidelines:

The deposit amounts necessary are determined by the expenses accrued prior to the commencement of your journey. For treks to Mt. Kilimanjaro or Mt. Meru, a 10% deposit is mandatory. Safaris, on the other hand, requires a 50% deposit. In instances where you are reserving domestic flights (e.g., to Zanzibar or Serengeti) and accommodations located outside Moshi (such as Zanzibar or Arusha), a 100% deposit is required for the flight portion of your trip. Whether you opt for a consolidated group payment or prefer individual payments, we are adaptable to accommodate your preferences fully.

 

  • Payment Timing:

Although there is no rigid timeframe for submitting the deposit, please note that we will not confirm reservations for accommodations, flights, or your trip itinerary until we have received your deposit. It’s essential to recognize that accommodations, flights, and tented camps can reach full capacity rapidly. Thus, we highly advise submitting your deposit as early as you can to secure your arrangements. The remaining balance is solely due upon your arrival in Tanzania.

  • Wire Transfers:

You also have the option to initiate a direct wire transfer from your bank to ours. It’s important to note that our bank does not impose any additional fees for this service. However, the transfer fees are determined by the sending bank, typically ranging from $30 to $40 USD. On occasion, a third party, known as a correspondence bank, may become involved, resulting in an additional $10 fee.

For the necessary bank details required to initiate a wire transfer, please reach out to us at [email protected] of payment and are processed within approximately one week. This method is considered safe and reliable, unlike alternative services such as Western Union.

  • In-Person Payment Options:

When it comes to in-person payments, we offer various convenient choices for your ease. You can settle your charges using Visa, MasterCard, American Express, or Union Pay. However, it’s important to note that for in-person payments with Visa, MasterCard, or Union Pay, there is a 4% service fee, and for American Express, the fee is 5%.

While we accept card payments, we highly recommend cash payments in USD for a smooth transaction process. Please ensure that the cash bills you provide are dated from the year 2004 or later, as older bills are not accepted in Tanzania.

Our bank account is primarily in USD, as Tanzania uses USD for all tourism-related transactions, including park fees and tourist visas. If you plan to use other currencies for payment, we recommend converting them into USD before your arrival to avoid additional conversion fees.

It’s worth mentioning that while credit/debit cards are suitable for general payments, they cannot be used for giving tips. You can provide tips in any currency you prefer. In case you need assistance, we are happy to help you withdraw cash from an ATM if needed, ensuring your financial transactions during your journey are hassle-free.

  • Specifics Regarding refund and Cancellations:

Details Regarding Cancellations:

At Triple African Adventure, our primary goal is to provide you with an outstanding experience, and we understand that unforeseen circumstances may arise. While navigating Tanzania’s financial regulations can be challenging, we have established a policy to handle cancellations in a fair and transparent manner.

Here’s how it works: If you need to cancel your trip, we will provide refunds for any recoverable amounts, after deducting necessary transfer fees and taxes. Additionally, you have options: You can choose to transfer the recoverable funds to a future travel adventure with Triple African Adventure, valid for up to one year. Alternatively, you have the flexibility to allocate the refundable amount to another person traveling with Triple African Adventure.

It’s important to note that hotels, lodges, and airlines may have their own cancellation policies, which could impact the amount refundable in those cases. We aim to strike a balance between your needs and our commitment to providing exceptional travel experiences.

We cannot assume responsibility for adjustments due to canceled/delayed flights, missed connections, or delayed baggage. We will make every effort to accommodate you in such situations, but we cannot guarantee it, especially for open group Mt. Kilimanjaro treks.

We strongly recommend purchasing travel insurance to protect your investment. For Mt. Kilimanjaro climbs, medical and rescue insurance is mandatory, and we encourage you to seek coverage for other potential scenarios as well.

  • Refund Guidelines:

In the event of a cancellation or postponement, we extend our refund policy with specific conditions. You have the option to apply the refunded amount towards future journeys with Triple African Adventure for a period of up to 12 months. Alternatively, upon request, you may allocate the funds to fellow travelers planning trips with Triple African Adventure.

It’s important to be aware that accommodations and flights may have more stringent cancellation policies that could impact the amount eligible for a refund. Nevertheless, Triple African Adventure is committed to making 100% of recoverable funds available for your benefit. Additional details are provided below for your reference.

Guest Representation and Consent:

  • We’re delighted to have you join us on this exciting journey, and we have full confidence in the person making the booking with us to represent all participants. When you make the deposit or any partial payment, it implies that all individuals covered by that payment provide their consent to the Terms and Conditions outlined here, even if they haven’t individually signed the contract.

Participation:

  • We enthusiastically welcome adventurers of all types, but we do recommend that individuals with specific health considerations, such as heart conditions, chronic illnesses, physical limitations, advanced pregnancies, or mental health concerns, carefully assess their readiness for the challenges presented by these travel programs.

Adjustments to Travel Plans:

  • At Triple African Adventure, our steadfast commitment is to deliver exceptional experiences, and there may be instances where unforeseen circumstances necessitate alterations to our planned itineraries. Be assured that we will spare no effort in ensuring that your adventure retains its initial thrill and remains an enjoyable journey, just as originally envisioned.

 Tailored Accommodations:

  • Your comfort is of utmost importance to us, and while we cannot guarantee every specific request, we will go to great lengths to cater to your preferences. Whether you desire connecting or adjacent rooms, smoking or non-smoking accommodations, or have special dietary needs, we will do our best to make your stay as personalized and comfortable as possible.

Baggage Handling:

  • We fully recognize the importance of your personal possessions, and our goal is to ensure your travel experience is stress-free. While you remain responsible for your luggage and personal items throughout the duration of the tour, we will furnish you with details concerning any specific weight limits for baggage on internal flights, as specified in your itinerary.

Photography and Videography:

  • We derive immense joy from capturing the magic of your journey through photographs and videos during our trips. Your kind permission for us to use these captivating visuals for promotional or commercial purposes is greatly valued and appreciated.

 Departure Date and Pricing Assurance:

  • Our tours have been meticulously planned and are designed to run until December 31, 2023. The prices provided are calculated based on rates, currency exchange rates, and airfare costs as of January 2023. It’s important to be aware that we retain the flexibility to revise the quoted prices if there are alterations in factors such as inflation, fuel expenses, labor costs, materials, airfares, or foreign exchange rates.

Triple African Adventure Responsibility:

  • We take pride in curating exceptional experiences, and while we don’t own or operate all the services provided during your trip, we carefully select partners who share our commitment to quality and safety.

Risks:

  • Adventure awaits, and with it come inherent risks. We want you to have a thrilling experience, but please be aware that activities like white-water rafting, kayaking, horseback riding, hiking, and encounters with wildlife entail certain risks. Your safety is our priority, and we encourage you to embrace these opportunities while taking necessary precautions.
